Administrative Assistant
Position: Administrative Assistant (40 hours/week)

Overview:
Responsible for the administrative duties of Lyngblomsten at Lino Lakes, supporting the management team and assisting with special projects as delegated. Ensures smooth daily operations by providing proactive, organized, and professional administrative support. May be asked to assist with reservation processes, including completing and processing leasing documents with renters.
The posted pay range of this hourly position is $24 to $26. The actual rate of pay offered within this range may depend on several factors, such as FTE, skills, knowledge, relevant education, experience, and market conditions. Additionally, our organization values pay equity and considers the internal equity of our team when making any offer. Hiring at the maximum of the range is not typical.
Duties:
Responsible to perform the following in accordance with federal and state regulations, Lyngblomsten Mission, Brand Pillars, and policies and procedures.
- Provide general administrative support for the operations of Lyngblomsten at Lino Lakes to ensure an effective and professional office environment.
- Manage deposits, mail deposits, and track all deposit and refund activity on the accounting spreadsheet.
- Schedule and coordinate meetings (on and off campus), which may include arranging food service and set up.
- Prepare and distribute internal communications including memos, reports, and updates.
- Prepare correspondence, reports, and other documentation for the Executive Director and/or other Directors.
- Assist the sales team by processing paperwork and supporting marketing workflow.
- Audit and review resident charts for accuracy, completeness, and compliance.
- Run reports for the marketing team or others as requested.
- Assist with the planning, organization, and coordination of events.
- Perform other duties as assigned by the Executive Director.
Qualifications:
High school degree required and additional education preferred. Critical thinking skills essential. Expert-level skills with MS Office Suite, including mail merges. Superior spelling, grammar, and proofreading skills as well as meticulous document formatting and attention to details. Ability and desire to follow established procedures. Ability to meet overlapping deadlines. Friendly, confident, helpful, calm, and patient demeanor. Professional presence. Familiarity with database maintenance (e.g., entering and updating records, exporting lists) helpful.
